2009-10 SATISFACTORY ACADEMIC PROGRESS POLICY

The University of Texas at Tyler is required to establish satisfactory academic progress standards for its financial aid recipients in accordance with the U.S. Department of Education regulations.  These standards ensure that only those recipients demonstrating satisfactory progress toward the completion of their educational programs continue to receive financial aid.

Whether a student is considered to be making satisfactory academic progress depends on cumulative grade point average (GPA), successful semester completion of courses (credit hours), and maximum time limits to complete the course of study.  Students must meet all the requirements listed below:

 

GRADE POINT AVERAGE (GPA) REQUIREMENTS

Students receiving the Academic Competitiveness Grant (ACG), National Science and Mathematics Access to Retain Talent (SMART) Grant, TEACH Grant, TEXAS Grant, and/or B-On-Time Loan must meet the Satisfactory Academic Progress requirements stipulated by the federal or state regulatory authority governing the program.  Those requirements may be found in the Grant Programs and/or Loan Programs section(s), respectively, of the

UT Tyler Financial Aid website.

Students receiving aid from the programs listed below (grants, student loans, and/or work study) must maintain the grade point average standards required for enrollment as defined in the current UT Tyler Catalog.

Grant Programs include:

  • Federal Pell Grant,
  • Federal Supplemental Education Opportunity Grant (SEOG),
  • Texas Public Education Grant (TPEG),
  • Supplemental Educational Assistance Partnership (SLEAP
  • Leveraging Educational Assistance Partnership (LEAP) Grants, and
  • Education Affordability Grant

Student Loan Programs include:

  • Federal Direct Subsidized Loan
  • Federal Direct Unsubsidized Loan
  • Federal Direct PLUS Loan, and
  • Federal Direct Graduate PLUS Loan

Work Study Programs include:

  • Federal Work Study
  • Texas Work Study
  • Working to Success
 

COMPLETION OF COURSE (CREDIT HOURS) REQUIREMENTS

Students receiving aid from the programs listed above must successfully complete at least 75% of the hours attempted as of the census date for the term(s) of the increment of assessment.  Courses repeated to meet degree requirements will be in the calculation of attempted and earned hours for assessment of Satisfactory Academic Progress. 

Courses not considered earned to meet completion requirements include:

  • Courses taken for audit
  • Course with grades of  "F", "I", “W” or “NC”
  • Credit hours earned by examination or articulation

Students funded at UT Tyler for concurrent enrollment at another institution (through UT TeleCampus, at an area junior college, or through a study abroad program) must provide proof of successful completion of their coursework to the Financial Aid Office.  Until that documentation is received, the coursework will not be considered in the assessment of satisfactory academic progress.

 

MAXIMUM TIME LIMIT REQUIREMENTS

A student’s eligibility for financial aid is limited to levels listed below.  Attempted hours include all prior coursework at UT Tyler and/or from transfer, regardless of whether or not financial aid was received.  If a student changes a course of study or pursues an additional credential, the hours attempted under all courses of study are included in the calculation of attempted and earned hours.

UNDERGRADUATE programs of study must be completed within 180 attempted semester credit hours, including transfer coursework and second baccalaureate degrees.

GRADUATE programs of study must be completed within 54 attempted semester credit hours of graduate work.

 

Students who exceed the maximum time limit requirements can only be funded if they are approved for an appeal.  (See Student Appeal Process below for details)

 

EVALUATION OF ACADEMIC PROGRESS

Satisfactory academic progress is informally monitored after the summer and fall semesters year.  For financial aid purposes, all summer sessions (Long Summer, Summer I, and Summer II) are considered as one summer term.  Aid recipients will be notified of their status, through their Patriot email account, in an effort to identify potential academic problems and provide time for corrective action. 

Formal evaluation of an aid recipient’s satisfactory academic progress is done annually, after grades are posted for the spring semester.  Students not meeting all three elements (GPA, completion rate, and maximum time frame) for the prior 3 semesters (Summer, Fall, and Spring) will be placed on Financial Aid Suspension.

Financial Aid Suspension will prevent the student from receiving any Title IV (federal), state, or institutional financial assistance for future enrollment, until such time as the student meets all the satisfactory academic progress standar

 

STUDENT APPEALS PROCESS

If an extraordinary situation adversely affects progress toward successful completion of a program of study, a student may request an appeal by submitting an Appeal Form and supporting documentation to the Financial Aid Office.  Appeal Forms are available to be printed from the Forms Library on the Financial Aid Office webpage.   The deadline for requesting an appeal is July 15.

A Student Appeals Committee comprised of faculty, staff, and student representatives review and evaluate all appeal requests.  They will consider the circumstances identified, supporting documentation provided, academic history, and success potential of the student in their deliberation.  The decision of the Student Appeals Committee is final.  The following circumstances might be considered reasonable for appeal:

  • Illness or injury of the student or a dependent of the student,
  • Death of a family member, or
  • Other emergency or catastrophic events

This policy does not preclude a student from enrolling in subsequent semesters without the use of financial aid funding.

REINSTATEMENT OF ELIGIBILITY

Students on Financial Aid Suspension may have their eligibility reinstated once all satisfactory academic progress standards are met or with the approval of the Student Appeals Committee, as described above.  Meeting the standards may be done in one of the following manners, depending on individual circumstances:

  • Submitting a transcript that confirms the successful completion of concurrent enrollment, if that credit together with the credit from UT Tyler will meet the standards;
  • Completing grades of “I” or having grade changes posted to the transcript;
  • Earning a minimum 75% successful completion rate from attending a semester at UT Tyler without financial aid funding and not exceeding the maximum timeframe for program completion.

APPLICATION OF POLICY

Example:  Student A attempted 6 hours in the summer term, but failed 3 hours.  He is currently a senior, has attempted a total of 163 hours and has a GPA of 2.4.  His completion rate for summer is 50% so he did not meet the standard of completion for summer, but he was eligible to continue receiving aid because the formal assessment is done annually at the end of the spring semester.

 He continued enrollment in the fall term for 12 hours, and successfully completed all 12.  He successfully completed a total of 15 hours of 18 hours attempted, giving him a completion rate of 83% (15/18=.83 or 83%) and a total of 181 attempted hours with a 2.6 GPA.  At this point the student is meeting 2 of the 3 components of the standard, but he is still eligible to get aid for spring because the formal assessment will not be conducted until after spring grades are posted.

Student A enrolled in spring for 12 hours, and completed 9 of them successfully and withdrew from 3 hours.  He has a 2.6 GPA and a total of 193 hours.  The completion assessment would be 24/30=.80 or 80%, which would meet this standard, but the student would be on Financial Aid Suspension for exceeding the maximum time frame for completing his program of study.
