Office of News and Information Services and Graphics Guide

The Office of News and Information is the official source for coordination of UT Tyler public information programs. This includes promotion of upcoming events as well as reports of recent achievements by students, faculty and staff.

News releases, advertising, public service announcements, brochures, newsletters, media notifications and the university Web site are developed through the Office News and Information.

Please contact the appropriate News and Information staff member with your request.
The Office of News and Information does not charge for its services. Charges would apply only to services outside services. For instance, there is no cost incurred for News and Information to design a brochure, but there is a cost for the printing of the brochure.

News Releases

The UT Tyler Office of News and Information produces a wide range of news releases that promote the university within the East Texas region and beyond. Many of these originate from information reported by faculty. It is our responsibility, when publicity is appropriate, to develop that information into a news release consistent with newswriting style and university procedure.
In general, the sooner we receive information, the wider distribution we can obtain; for instance, one (1) week may be sufficient to submit a release for an upcoming event to the Tyler Morning Telegraph, but two (2) weeks allows us to meet the deadlines of weekly newspapers in the region.

Releases are an excellent way of obtaining publicity at no cost; please keep in mind, however, that control is with the newspaper editor, not the university. The editor decides when, if at all, to publish the release.

Newspaper Advertising

Paid advertising ensures that notice of an upcoming event will appear in the newspaper on a specific date. In order to meet newspaper deadlines, written information must be received by the Office of News and Information at least seven (7) working days prior to the date the ad needs to appear in the newspaper.

Ads are prepared using a specially designed format, available in various sizes, with the university's logo. This provides an easily recognized image that is distinctively UT Tyler.

Placement of paid advertising requires basic content of ad, timeframe for ad to run, list of desired newspapers in which ad is to appear and estimated budget for advertising. The estimated budget will help us determine the ad size.

Once the ad has been requested, you will receive a draft copy of the ad along with a project proof slip. The proof slip will list the date by which the ad must be approved in order to run on the requested date(s). No ads will run without the approval of the requestor.

Public Service Announcement

PSAs are brief news items about upcoming university events. These are sent to radio and television stations in the area, which run them free of charge as their time permits. These stations need a minimum of two (2) weeks to schedule PSAs.

As with news releases, the university has no control over which PSAs run or how often they run.

Brochures and Printed Materials

The Office of News and Information coordinates the design and production of all brochures, posters and various other publications and printed materials used for recruitment by the university.

Design services are available through the Office of News and Information; however, the university community is not restricted to its services. Outside designers may be used; however, ALL materials should be reviewed by the Office of News and Information during the production process and prior to being printed. This is to maintain compliance with the graphic and editorial guidelines.

The Office of News and Information strives to ensure that all materials that reach the public maintain a quality image; therefore, printed materials that do not comply with university standards should not be used.

University Web site

The UT Tyler Web site is developed and managed by the Web Content Coordinator. Her responsibilities include building and maintaining, image continuity and ease of navigation.

The Web Content Coordinator communicates regularly with the designers for college and departmental homepages in order to maintain images and information that conform to the university's main site.

Faculty and staff are encouraged to submit items for inclusion in the following publications:

Intercom Online
University community newsletter containing information on university programs and events, faculty research presentations and publications and personnel news. Published online every Monday.

Speakers Guide

Brochure listing speech topics available for presentation by UT Tyler faculty and staff members. Published each fall, this brochure is designed for community organizations who seek guest speakers and for members of the news media who wish to interview faculty about current events related to their field of expertise. Patriot Pride
Brochure designed for alumni and friends of the university to keep them informed about the many exciting things happening at UT Tyler. Published quarterly, this publication highlights one outstanding aspect of the university each issue.

Media Relations

The Office of News and Information serves as the university’s initial point of contact for all media. As a result, News and Information coordinates media events such as requests for interviews, news conferences, etc.

University employees can, but are not obligated to, grant interviews with the media when contacted by the Office of News and Information or by the media directly.

If contacted by the media directly, employees may provide the requested information or refer the reporter to the Office of News and Information for further assistance.

UT Tyler Registered Marks

UT Tyler Logo

The two official logos of The University of Texas at Tyler are shown here. The logo may NOT appear in any other style. Modifications are NOT allowed.

They are referred to as the stand alone and block logos, respectively.

The block logo is used most often and should always include “Tyler(star)Longview(star)Palestine”.

A request for the logos used in printed materials should be made to the Office of News and Information. Please do not scan or recreate the logo, as this may result in inferior quality.

Color
The logo may only appear in the colors of orange, black or white. The official color for the orange is PMS 159. In addition, the logo may be used in a percentage of black (gray). Do not use a tint or use a percentage of the PMS 159. Any other color use is not allowed.

Logos should not be altered in any way such as adding drop shadows, beveling, etc.

The UT System Office of Trademark Licensing protects the integrity of our registered logos by working with vendors to ensure that products bearing the university marks comply with Regent’s Rules and meet the standards that the University has established.

Logos For Promotional Merchandise

All logos intended for use in the production of promotional merchandise are issued from the Office of Trademark Licensing. As a result, all requests for logos to be used in the production of promotional merchandise should be submitted to the Office of Trademark Licensing via the UT Tyler Office of News and Information.

News and Information will need the vendor name, contact name, contact information (phone, fax, email) and details of order to vendor. This information will be forwarded to Austin for fulfillment of the request.

Vendors providing services for employees of UT Tyler are not charged a licensing fee; however, they must receive written permission to use the logo in the production of merchandise. This written permission can be obtained from the Office of Trademark Licensing via the UT Tyler Office of News and Information.


UT Tyler Patriot Athletics Logo

There are two official logos of The University of Texas at Tyler Patriot Athletics program. The logo may NOT appear in any other style. Modifications are NOT allowed. No additional text shall appear with the logo without prior approval. The trademark symbol must appear on the logo at all times. Please do not remove the trademark symbol.

Use of the athletics logo is for athletics use only. Usage of the athletics logo must be approved.

Color
The logos may appear in the one-color, two-color or three-color versions.

The two-color version is best for offscreen printing. Please do not use this version in silk screen printing.

The three-color version is for silk screen printing and printing for specialty items. The official PMS colors are PMS 159, PMS 142 and PMS 281. No substitutions are allowed.

For materials using one-color, the logo may only appear in black. Please contact Carolyn Halbert in the Office of News and Information (566-7063) for the one-color version.

The correct use for the name of the institution in all printed materials is:

The letter t is always capitalized in the word The, not the University of Texas at Tyler.

The full name is used in first reference. Subsequent references may be abbreviated using:

The university name also is a registered mark and permission to use this word mark must be obtained from the UT System Office of Trademark Licensing. Usage must comply with Regent’s Rules and standards established by the University.

TAGLINE
The official taglines are “Quality Education Right Where You Are” and “Texas Quality.”
“A Rising Star in Higher Education” should not be used at any time. (For information on updating your Web page template, visit www.uttyler.edu/styleguide.)

“Quality Education Right Where You Are” is intended for most publications and promotions. Its meaning refers to the fact that outstanding educational opportunities are available right here in this region without having to travel far from home.

“Texas Quality” refers to our membership in The University of Texas System as well as to the educational excellence that the State of Texas offers. This tagline should be used in promotions that are intended to reach outside the State.

The taglines can, but do not have to, appear with the logo; however, they MUST be in the same vicinity as the logo.

SEAL
The approved seal of The University of Texas at Tyler is used only at the discretion of the President for official occasions and documents.

DEPARTMENTAL/PROGRAM IDENTITY
The only sanctioned logotype is the UT Tyler logo. Departments, divisions, sections, units, offices, centers and services are represented only by their names in type. No other logo can be developed to distinguish a unit.

All departments and programs use only the UT Tyler letterhead, envelopes, business cards and other stationery items. Department or program names are in black Times Roman type beneath the seal.

Envelopes feature department and program names in black Times Roman type beneath the university's return address.

NEWSLETTERS
*NOTE: All newsletters should be reviewed by the Office of News and Information prior to distribution.

All newsletters must feature the UT Tyler logo prominently, and tastefully, on the cover. We are not recommending the use of a large logo, but the reader should be able to identify it as a UT Tyler publication at a glance.

DESIGN ELEMENTS
The design elements of each publication should be coordinated through the Coordinator of University Publications.

COMMENCEMENT ANNOUNCEMENTS
Invitations for commencement are available through the UT Tyler Bookstore.

Occasionally, students request the use of the logo or seal in order to get invitations from a source other than the bookstore. The logo or seal cannot be provided for use on material that is not for purchase by the university. Such requests must be made to the Office of Trademark Licensing, which can, for a fee, issue a license for the use of the images.
