In the event that you have a legitimate business need to send confidential information in an email to an associate outside of the University, Information Security policy requires the email be encrypted.  To encrypt email, follow these steps.

Q & A:

Can the recipient reply to the email?

Yes - once the email has been opened, there is a reply option in the email portal.  In the same manner you may send an encrypted email to a recipient requesting they reply and attach documents.  Those documents sent in the reply will be encrypted.

Can I send secure messages from my mobile device?

Yes - you can send messages from your mobile device using the Outlook client or the Outlook mail app.

What happens if the sender fails to encrypt an email containing sensitive data?

NOTE:  When an Email is flagged as potentially containing PHI or HIPAA information, the user may also get an option to "SEND" the emails.  If the user chooses the "SEND" option they are acknowledging the email contains no personally identifiable health information.  Choosing "SEND" will release the email from quarantine and forward to the recipient with no encryption.
