Eight Ways to Ensure Privacy

One layer of protecting Privacy and Protected Health Information (PHI) is by privacy monitoring. There are several ways to take protective measures, such as:   

1. Secure your workstation

Lock your workstation whenever you walk away, even for a small moment like walking to the printer. Never leave student lists or patient charts unattended.

2. Follow the "Minimum Necessary" rule

Only access the information you need to perform your job duties and nothing more.

3. Please avoid discussing PHI in public areas

Hallways, elevators, cafeterias, and parking lots are not secure places to discuss student/patient details. Keep conversations private.

4. Verify identity before sharing information

Whether in-person or by phone, confirm the requester’s identity and authorization before releasing any PHI.

5. Use approved communication tools only

Never text or email PHI through personal devices or unencrypted platforms. Use university/hospital-approved secure messaging or encrypted email.

6. Report incidents immediately

If you see something concerning; misdirected faxes, overheard PHI, or unlocked workstations, report it promptly.

Early reporting reduces risk. 

7. No snooping

Accessing your own medical record or those of coworkers, family, or friends without a job-related need is strictly prohibited.

8. Dispose of PHI properly

Use designated shred bins for any printed documents containing PHI. Never place student/patient information in regular trash.

Do not create your own personal shred bin.

Shred all disposable PHI at the end of your work day/shift.
